Part 2: Designing, Refining, & Bringing It All Together
Design Meetings & Tastings:
Congrats! You’ve completed the first phase of your design journey. After sharing your vision, selecting your venue, and exploring vendor pairings, it’s time to dive deeper into the creative process—because design is one of the most impactful elements of your big day. This is where your vision starts coming to life. Here’s what to expect:
Curated Design Deck: Using the details from our foundation call, we curate a comprehensive design deck filled with visuals to help you refine your choices—linens, color palettes, lighting, florals, and more. That said, we know that seeing a design on a screen isn’t enough. That’s why we take it a step further with in-person design meetings and tastings, allowing you to experience textures, colors, and details firsthand before making final decisions.
Decor Samples & Tablescape Mockups: See, touch, and adjust floral arrangements, table settings, and decorative accents to ensure they align with your vision. We set up a full table display, allowing you to really get a good sense of the different combinations of linens, plates, glassware, and centerpieces to help finalize the perfect combination.
Menu Tastings: A good meal is important to hosting any event and your wedding day is no exception! Menu and bar tastings are a delicious opportunity to sample dishes, finalize your menu, and ensure the presentation aligns with your overall aesthetic.
If you’re not local—no worries! We can seamlessly handle everything virtually or even attend tastings on your behalf. That’s the beauty of full-service planning—having a team that truly understands you as a couple, your style, and your vision, ensuring every detail is thoughtfully executed, no matter where you are.
Developing the Final Details
Timelines & Checklists: Once your design concept is finalized, we shift focus to perfecting all the logistics. If you’re at this stage, your event day is quickly approaching, and here’s a look at what’s taking place behind the scenes:
Final Decisions: While changes after the one-month mark aren’t ideal, they can still be made if necessary. At this stage, you should also expect to be more available for your planner as we set up a series of final logistic calls to ensure no detail is missed. We understand that life gets busy, but a collaborative process is necessary to making key decisions! One common concern couples have as the big day approaches is whether they’ve made the right choices. It’s completely normal to feel this way—after all, it’s your big day—but trust that you’re on the right track.
Vendor Reviews: We double-check all vendor orders to confirm accuracy and ensure final payments are processed and shipments are arriving on time. Clear and consistent communication with vendors is essential to ensuring a seamless event. We keep them updated on every detail—from photography shot lists to guest list adjustment.
Production Timeline & Logistics: About a month before your wedding weekend, when all of those final details are confirmed, we create a detailed production timeline, ensuring every vendor knows exactly when and where they need to be. This packet includes the full timeline along with personalized vendor specific timelines, layouts, and all key information ensuring everyone is aligned and prepared for flawless execution.
Internal Organization: For our team, we create a master booklet with all essential details for quick on-site reference and conduct calls with staff to ensure everyone is clear on their roles and responsibilities.
Packing & Execution: Finally, we pack up all essential materials, load the car, and head into full execution mode to bring your wedding vision to life!
Needless to say, for every email or call we have with our couples, there are countless behind-the-scenes emails and conversations to coordinate every detail, ensuring everything runs smoothly and according to plan.
Final Walkthrough & Show Time!:
The final walkthrough is one of the most important steps in the process, ensuring that all the hard work that has been put in over the past months comes together perfectly. Here’s what to expect:
Final Walkthrough: We’ll walk through the venue and all details one last time, ensuring everything is set and nothing is overlooked. We’ll review the guestlist to make sure we haven't lost or gained any guests and take any special items that you brought from home.
Meeting with the Setup Team: We’ll gather with everyone involved in the setup to ensure smooth coordination and that each vendor is in the right place at the right time. In our production timeline, we’ve already accounted for any extra time needed to build structures—like our framed and sailcloth tents—which may require a few days of setup prior to the wedding day.
Time to Tie the Knot: After you've rehearsed and welcomed all of your friends and family into town, we are officially ready to send you down the aisle. All of those special details you've dreamed up, we make happen with the support of our vendor team. We remind you to slow the day down for yourselves, watch your guests enjoy themselves, be present during your vows and truly let the details go so you can enjoy every moment as we lead you through the rest of the day.
Reception Reveal: Before your guests enter, we’ll offer you a special preview of the reception space, ensuring everything looks flawless for the big reveal. This moment is truly magical, as it’s when our couples finally see the vision they’ve been dreaming about for months come to life. This moment also gives you a quiet moment with just the two of you and maybe your parents. It allows you to time practice your first dance, grab a bite to eat and savor all of the details.
